Everything Rotahr does, module by module

Rotahr is nine modules in one app — scheduling, clock-in and payroll hours, HACCP food safety, table bookings, bookkeeping, recipe costing, guest CRM with loyalty, in-house staff training and an equipment service register — sharing one set of staff, venues and data, so the same delivery never gets entered three times.

Each page below covers what the module actually does, who it's the deciding factor for, and where its limits are. The limits are on the page on purpose — it's faster for both of us than finding out in week three.

Rota & scheduling

Rotahr's scheduling module lets you build a week's rota on one screen, publish it straight to your staff's phones, and absorb the swaps, sickness and last-minute cover that follow — without a single group-chat message.

HACCP & food safety

Rotahr replaces the paper food-safety diary with logged temperature checks, delivery records, cleaning checklists and a corrective action log, all exportable as a single PDF when an inspector walks in.

Bookings & floor plan

Rotahr takes reservations through your own public booking page and puts them on a drag-and-drop plan of your actual dining room, so you can see what's free tonight without reading a list and translating it in your head.

Bookkeeping & receipts

Photograph a receipt in Rotahr and it reads the vendor, date, line items, total and tax for you, presents them for a quick correction, and files the expense — so the shoebox never happens.

Clock-in & payroll

Staff clock in and out on their phone, breaks are tracked against the legal thresholds, and the resulting hours flow into a payroll summary — so nobody adds up a paper timesheet at midnight on the last day of the month.

Stock & recipe costing

Rotahr costs each recipe from the last price you actually paid for every ingredient, so when a supplier puts butter up, the gross margin on every dish using butter updates without anyone rebuilding a spreadsheet.

Guest CRM

Every reservation in Rotahr creates or updates a guest profile automatically, so you end up with a real customer database — visit counts, spend, no-shows, tags and notes — without anybody maintaining a list, and loyalty tiers and points sit on top of it.

Training & Certifications

Rotahr builds thirteen short training courses out of your venue's own data — your menu, your equipment register, your stock list, your HACCP units, your rota — so a new starter is tested on the actual allergens and the actual fridges they will work with, and every pass is recorded with an expiry date. This is in-house training, not an accredited qualification.

Equipment & Service Register

Rotahr keeps a register of every piece of equipment in the venue — what it is, where it lives, what it cost, who to ring, when it was last serviced and when it is next due — with the certificates and invoices attached, and it warns you 30 days and 7 days before anything falls due.

Where Rotahr fits

Rotahr is restaurant management software: it covers the back of house — staff, stock, money, bookings and food safety — for independent restaurants, pubs, cafés and small groups. In the standard category terms:

Employee management
Rota building, shift templates, time off and break entitlements, clock-in by GPS or QR, and payroll hours export.
Inventory management
Stock counts, supplier deliveries, and recipe costing that re-prices every dish when an ingredient price moves.
Accounting
Expense and receipt capture, category totals, P&L, VAT or sales-tax summaries, per-employee labour cost, CSV export.
Reservations and table management
Table bookings with a drag-and-drop floor plan, live table status by service, and guest history on every booking.
Order management (purchase orders)
Order lists built per supplier off live stock levels, with quantities and unit prices, moving draft to sent to received — plus supplier statement upload and reconciliation against what was ordered. Supplier purchase orders only, not guest orders.
Reporting
Labour cost against hours worked, food-safety compliance rates, booking and cover volumes, gross margin per dish.
Compliance records
Paperless HACCP — temperature and delivery checks, cleaning and opening/closing checklists, corrective actions, PDF export for an inspection.
Training management
Thirteen in-house courses generated from the venue's own menu, equipment register, stock list and HACCP units, with assignment, an 80% pass mark, a 12-month expiry and a printable record. In-house training, not accredited qualifications.
Asset and maintenance management
Equipment register with warranty, service intervals, service history, uploaded certificates and invoices, and warnings 30 and 7 days before anything falls due.

What Rotahr is not

Rotahr has no point of sale — it does not take payments from your guests, take orders at the table or send tickets to the kitchen, and it is not a delivery or online-ordering platform. It sits alongside whatever till you already run. Order management above means purchase orders to your suppliers, never guest orders. And the training module is in-house training only: the courses are generated from your own data and Rotahr is not an awarding body, so nothing in it is an accredited qualification. Where accredited certification is legally required, you buy it elsewhere and Rotahr tracks its expiry.
